Improved Timesheet Reporting and API Option

We are happy to officially announce features recently developed and made available to Spokeware users. If you have any questions or comments, please contact your friendly support representative. 

New Report Type: 
Previously, there were two report types available under TLM>Reports>Hours/Earnings by Date Range. The Summary - Group Employees by Earning Code report type gives total hours or amount by Date/Earning/Level Classification. The Detail - Expand by Employee report gives this same information broken down by employee (not totaled by common level classification). We have since built a new report type to give more detailed information as it relates to employee punches and edits made thereafter within the timesheet. Now, you will notice a new Report Type entitled Detail - Expand by Employee With Punch Info (if available). This report, like the others, is run for a date range and will give the following:

Date
Employee Levels (ex. Location, Department, etc.)
Last Name
First Name
Employee Number
Earning
Hours
Amount
Override By (User Id if the original punch was Updated in the timesheet)
Punch IP Address (IP the original punch in came from)
Punch Time Zone (Time Zone the punch is displaying)
Punch Time In (Punch In Time as saved in the timesheet at the time the report is run)
Punch Time Out (Punch Out Time as saved in the timesheet at the time the report is run)
Punch Raw Time In (Original Punch In Time, prior to any override)
Punch Raw Time Out (Original Punch Out Time, prior to any override)
Punch Time Off (total unpaid break for the entry)
Breaks (detail of unpaid break time out and in)

Please note: Due to the volume of data included in this report, the date range has been limited to 60 days.














API Integration: For those interested in an Application Programming Interface with Spokeware, we now are happy to accommodate. With our open-standards API you can integrate with our TLM system from your desktop, iOS apps, blackberry, droid devices, security systems, etc. If you would like other devices configured to punch in/out to Spokeware via API,  please contact your Support representative for more information.

Autumn Additions!


We are happy to announce an enhancement benefiting users punching via tablet or smartphone, as well as a fix for users punching via Apple devices running iOS 6. If you have any questions or comments, please contact your friendly support representative. 

iOS 6 Accommodation: It has come to our attention that punches from Apple devices running iOS 6 are not transferring to the employee's timesheet. It turns out that with iOS 6, Apple broke the way AJAX works in certain instances. Specifically (and technically), iOS 6 is caching forms submitted via AJAX, and in so doing not sending the data to the browser. This is a significant oversight by Apple, and breaks a well known web standard of cache settings. We have since made changes to Spokeware to accommodate. Apologies to any who experienced issues as a result. 


Dpunch In-Browser Keypad: For users punching in via smart phones, tablets, or other devices without an external keyboard, they are forced to use the touchscreen keyboard built into the device in order to enter their employee number and last four of SSN for punch. We have introduced functionality designed to recognize that a user is accessing via smart phone or tablet and provide an in-browser numerical keypad for those users to enter employee number and last four of SSN. This eliminates the need to click on the text field and make entries via the device keypad, but users can still do so if they prefer. Users punching in via PC will not have the in-browser keypad and will continue to punch as normal.

Independence Day Update

Overtime Calculation: Over the past several months, we have been introducing changes to accommodate overtime rules that differ from weekly overtime over 40 hours worked. This includes Daily overtime for employees in California and Colorado as well as the ability to set a custom weekly OT threshold for employees whose weekly overtime begins at XX hours worked. If you have any questions regarding calculation of overtime, please do not hesitate to ask.


Dashboard Location Filter: Previously, the first selection when navigating to the Dashboard to view employees punched in read "All Locations" yet it did not display any punched in employees. This wording has been changed to read "Please Select Location" in order to clearly convey that a location selection must be made.






Dashboard Time Display: As you may know, all Spokeware punches are captured and stored in Universal Time Coordinates (UTC, aka GMT) and then converted to the native time zone for display. The "native" time zone can be set by registering a punch computer to a particular time zone, tying an authorized IP address to a time zone or assigning a time zone to Location. If the time zone cannot be identified, the display will default to Central Standard Time (CST). 


The Dashboard is programmed to display punches in their native time zone as determined per above. It has come to our attention that certain browsers will recognize this Date/Time display and convert it based on the local computer's time zone settings. If the computer settings are incorrect or the viewing user is in a time zone different from the punching employee, the browser will convert the time and it will display differently on the Dashboard than in the timesheet itself.


We have now made a change to prevent this time translation by certain web browsers. Additionally, the native time zone will now display so the viewing user can be assured that the punch is tied to the appropriate time zone.

Happy New Year!

Rounding: Spokeware now supports the ability to round punches to the nearest 5, 10, 15, 30 or 60 minutes. Unless enabled, punches will continue to be captured in real time. If you would like Rounding rules applied to employee punches, please contact your support representative. 




TLM > Timesheet Filter: Previously, TLM > Timesheets displayed all open timesheets with the option to filter by Location. When reviewing timesheets for approval prior to payroll processing, it became difficult to distinguish between current and future timesheets. 




You now have the option to Filter by Payroll as well as Location, allowing you to easily pinpoint the current period timesheets that require approval for payroll processing.




Manager Audit Trail: Timesheets will now display an audit note when a user adds or updates a timesheet entry. This will display the time of last update and the user who edited.





Pay Period vs. Weekly Timesheets: Prior to this release, all timesheets were weekly. For those not operating on a weekly payroll schedule, it was necessary to approve multiple weekly timesheets per employee for each payroll processed. You now have the ability to optionally choose pay period timesheets over weekly timesheets. Should you wish, this feature allows employee timesheets to mirror your pay period, giving you the ability to review and approve a single timesheet per employee per payroll. If you would like to enable pay period timesheets, please contact your support representative.



California OT Rules: Employees working in California will now have Overtime and Doubletime automatically calculated per California's rules regarding Daily/Weekly OT calculation.
